Who we are
Bridge St Bar Ltd ("Bridge St", "we", "us") is the employer and data controller for the information you share with us when you join the team. If you have any questions about this notice or your data, contact Declan Swift, owner — declan@bridgest.ie.
What we collect
When you start with us we capture a single Staff Starter Sheet that contains:
- Identity: first name, surname, date of birth, nationality, PPS number.
- Contact: personal email, mobile, home address.
- Bridge St email (if you're assigned one).
- Next of kin: name, relationship, phone — used only in emergencies.
- Right to work: document type seen, date verified, who verified.
- Bank details: bank name, branch, account number, sort code, IBAN, BIC — for wage payment.
- Practical: T-shirt size.
Alongside this, payroll records (hours worked, gross pay, tax, deductions) are generated by our accountant from your weekly rota.
Why we collect it (legal basis)
- Contract necessity: we cannot employ you, pay you, or honour a contract of employment without identity, PPS, bank details, and address.
- Legal obligation: Irish employment law requires us to verify your right to work and to keep payroll and tax records for the periods set by the Revenue Commissioners.
- Legitimate interest: next-of-kin and T-shirt size sit outside the strict legal minimum but are useful — emergency contact for your safety, T-shirt size so we can give you the right uniform.
How we store it
- Your record lives in the Bridge St Finance Hub — a private internal system that only the owner and senior staff with admin login can reach.
- Your PPS number and bank account number, sort code, and IBAN are encrypted at rest — even if someone got hold of the underlying database file, those fields would be unreadable without the separate encryption key.
- The Finance Hub runs on a private server in Germany (Hetzner) and is backed up nightly to an off-server location for disaster recovery.
- Paper copies of your starter sheet (if any) are stored in a locked drawer.
Who we share it with
- Brett & Company (David Brett) — our accountant. Handles payroll, tax registration, payslips, and statutory filings. Receives your PPS, bank details, name, address, and weekly hours.
- Revenue Commissioners — statutory PAYE / PRSI reporting via Brett.
- Our software providers — only what they need to run their service. Examples: Thesaurus Payroll (payslip generation), Resend (email delivery for payslips).
- We do not sell or share your information with anyone for marketing purposes.
How long we keep it
- While you work with us: for as long as we employ you.
- After you leave: employment and payroll records are kept for six years from the end of the tax year you left, as required by Irish employment and tax law. Your next-of-kin record and T-shirt size are deleted within 90 days of your last shift.
- Bank details are deleted as soon as your final wages have cleared and Brett confirms no further payments are owed.
Your rights
Under data protection law you have the right to:
- Access your data — see what we hold.
- Correct anything that's wrong.
- Erase your data — subject to the legal retention period above.
- Restrict or object to how we process it.
- Withdraw consent for any processing that depends on your consent (e.g. next-of-kin record) — without affecting anything we did before you withdrew.
- Complain to the Data Protection Commission of Ireland (dataprotection.ie) if you think we've handled your data badly.

Changes to this notice
If we change how we handle your data, we'll update this notice and let you know. The version date is at the top of the page.
